Export Data to Station

You can export data from one station to another.

  1. Go to the File menu and Station Management option, then select Export Data to Station.
  2. Select the database(s) you want to export.

    Note: All records in bold-faced databases are exported when selected.

  3. Press Select All Databases to select all available databases (quite large) or Select No Databases to clear all selections.
  4. Enter the date range for the records to be exported.

    If you leave Last saved on or after as "Custom Date" and leave the Date field empty, all selected records in selected databases are exported.

  5. Type or lookup a station if you wish to include records from a specific station.

    When a station is entered, all records that use the station, or records with no value in the Station field are included.

  6. Check Exclude Today if you want to exclude records last modified on the current day's date.
  7. Check Delete dated source records after export to delete exported records (station roster, lookup tables, and users and security will not be deleted).
  8. Check Export attachments for selected records to include all attached files (if any).
  9. Check Export user fields for exported records to include all user-defined fields and field values.

    Note: When you opt to export user-defined fields, the user-defined tables and field properties are exported and will replace the user-defined tables and field properties, so be sure the workstations where the export is made from and the import is made to share the same user-defined field structure for exported records, or that the user-defined field structure for the workstation performing the export is the correct structure to apply at the workstation performing the import.

  10. Check Include records imported on or after above date to export records that were imported into the selected databases.

    Imported records are not given a 'new' modified date when imported, so a record that is imported into a database will not be included in an export if the original modified date of the imported record precedes the export date. Check this option if the exported databases are imported (and overwrite) records at another workstation.

  11. Select the drive/directory you want to export to.

    Note: We recommend exporting to a hard drive if you have a large number of records to export or you will transfer the file using a modem. You should setup an export directory if you are exporting to a hard drive. Otherwise, insert a floppy disk in the drive and select that drive.

  12. Check Erase any previous export files in this directory to remove any previous export files.

    This is useful for periodic exports, such as exports added as automated tasks.

    Caution: Be sure that other export files that have not been imported at other workstations will not potentially be in this directory.

  13. Complete When finished, execute the following program if an external program performs a batch action to complete the export process.

    Example: An external program could transfer the export file from the exporting workstation to a location that is accessible to the workstation that will be performing the import.

  14. Press OK to continue.
