View and Edit Query Field Properties

You can view and modify the properties for fields added to queries in the Query Designer form Fields section Selected Output Fields field.

  1. From the Tools menu, select the Queries... option.

    The Queries form is displayed.

  2. Select the module and record area, and either create a new query, or modify an existing query.

    Information on creating or modifying a query is available in Create New Query and Modify Query.

  3. In the Query Designer form, Fields section, highlight the field name in the left box, press Properties.

    The Query Field Properties form is displayed.

    Note: The Query Custom Field form is displayed if the highlighted field is a custom expression.

    Use this To do this

    Field Source

    Display the source table name and field name.

    Output Name

    By default, the field name is entered here. The value in this field is used to name query fields.

    Example: Select a field to sort by in the Order By section.

    When multiple fields with the same name are entered, text is appended to the end of the field name to avoid name duplication.

    Field Caption

    The value in this field is used as a caption for the field in the resulting report, graph, or browse list.

    Example: The caption displayed at the top of the column of the Query form for Browse type queries.

    Display Field In Output

    For Browse query types, check to include the field in the browse list. You may wish to exclude fields added for sort order but not for display.

    Display Code Description

    Available only for lookup-driven fields. Check to automatically include a description for the code.

    Count Distinct Values Only

    Available only for Count field. Check if you wish to count one for each distinct value. If you wish to count each repeated value leave blank.

    Press to display format options (only available for Browse type queries).
