Setup Length of Service Awards (LOSAP) Report Setup
You specify the default activity codes and training categories that correspond with the LOSAP categories via the Administration Options form Staff section. When you print the Length of Service Awards Report, the points totals for each LOSAP category are totalled.
- Access the Reports menu, Staff, Activity, and Training Reports option
- Select the Staff Activity Reports category.
- Select the Length of Service Awards report.

Press Run.
The Length of Service Awards Report (LOSAP) form is displayed.
Note: The default activity codes and training categories are specified from the Administration Options form Staff section. You can modify these at print time, but they will not be saved.

Select the field ranges to print.
If you want to reduce the LOSAP maximums, enter the revised maximum figure in the Max Value for the activity.

Specify Activity/Training Date Range and Staff Members.
If you leave these fields blank. all ranges and staff members are included.

Select the Fire | Rescue % Points section and add staff fire, rescue, or fire/rescue participation percentage ranges and corresponding earned points.
Example: Specify that if a staff member attends 25% to 50% of fire activities, 5 earned points are accumulated, 10 earned points accumulate for 51% to 75% fire activity attendance, and so forth.
- Press OK to print the report.
The following information is specifically for departments in the state of New York.
- Points for Activities: Points are entered as each activity or training course is recorded. You also need to include one code in each range for adjusting points. This code will be used to reflect any minimum percentage attended requirements.

Points for Training Courses: There are no default hours for Training Methods. The defaults for Training are set when you enter the Training Course lookup codes under Training Categories.
The maximums included with the Length of Service Awards Report are the established LOSAP maximums.
- Minimum Attendance Requirement: If you have minimum percentage attended requirements, print the Incident Response Participation Report (Fire or Medical), the Training Participation Report (select the Training or Drill Ranges), and the Activity Participation Report (Select the appropriate range Meetings, Stand by, etc.). This needs to be done for each period where you award the participation points.

Adjust Individual Point Totals: Based on these reports, adjust the individual's points totals.
Example: If you award points for fire calls based solely on a percentage attended, use the Incident Response Participation Report for fire calls to enter an activity for fire calls.
To do this, select the File menu, Staff Activities option. Enter all the information for the activity. Use the Award Points Activity Code you set up. Enter the points you are awarding. Use Group Select to pick the individuals entitled to this number of points. Press OK. Save the Activity. Repeat this procedure for each break point.
Example: If up to 15% you get ten points enter an activity to awards points to this group. Next enter an activity to award points to the firefighters in the next range say 16% to 30% and so on.
Points Based on Attendance Percentage OnlyIf the points are awarded solely on the percentage attended, DO NOT ENTER POINTS FOR EACH ACTIVITY. In the previous example, points for fire calls should not be entered for each run.
Points Based on Activity, With Attendance RequirementIf you award points based on each activity or training course, but with a minimum percentage attended requirement, the following is the procedure you need to follow.
Enter points for each activity or training course as they occur. Print the reports noted previously for the period you are determining the minimum percent attended. Adjust each individuals total as is appropriate.
Example: If you award one point for each drill attended but require the individual to attend 25% of all drills, print the Training Participation Report for the Drill Codes. For each Firefighter with 25% or less, print the Length of Service Awards Report for that individual. Determine the number of Drill points they have. Enter a Training Course with the Award Points Type of Training Code you setup. Leave the points total blank. Use Group Select to pick the firefighters whose points need to be adjusted. Press OK, and they will be added to the training course. Edit each individual's record and enter negative the number of points they have for drills. This will zero out their points for drills. If you are adjusting for other than a training or drill the procedure is the same, except you would use an Activity to make the adjustment.
When you are adjusting points totals (whether it is based completely on the percentage or a combination minimum percent and actual points), you should date the activity or training course the last day of the period you are working on.
Example: If your time period ends on 12/31/95, the activity or training course to adjust this period should be dated 12/31/95.
